Role Length: This opening assignment is for 12 months
A Compliance Data Technical Support is required to be responsible for smooth running of various property safety compliance programmes, always ensuring 100% compliance so that the organisation meets its statutory landlord compliance obligations in areas such as water safety, asbestos, fire safety, electrical safety, gas safety and lift maintenance. Key responsibilities:
- Commission planned, periodic compliance checks and maintenance of safety equipment in properties.
- Understand the legislative requirements for property safety compliance and translate that into good practice.
- Always know the progress of any property safety compliance programme and maintain accurate records.
- Ensure the correct procedure is always followed and actions are progressed in a timely manner.
- Write professional, courteous, and grammatically correct correspondence for internal and external audiences.
- Be comfortable executing basic functions in Google products, Microsoft Excel, Outlook, and Word and be capable of learning a new IT system quickly and using it properly.
- Communicate clearly and with confidence, delivering messages in a respectful manner.
- Solve problems effectively using initiative with awareness of when to escalate issues.
- Harness data to provide clear, accurate, timely and useful reports.
- Identify key risks in relation to property safety compliance and put in place and monitor effective controls for the management of those risks.
- Contribute to the development of, implementation of and monitoring policies and procedures in own specialist areas ensuring they are up to date, relevant and useful.
- Interpret the latest legislation, regulations and codes of practice and ensure they are applied consistently.
- Provide expert advice to customers and partners on major issues in own specialist areas.
- Contribute to identifying and securing adequate resources to support service projects.
- Monitor invoicing and tracking accounts payable to ensure timely payment of suppliers and contractors.
- Liaising with key stakeholders within the team, in other parts of the organisation, property occupants and external organisations.
- Develop standard reports to monitor finance and resources in accordance with requirements.
- As required, arrange and support meetings including issue of agenda, meeting minutes, notes, room bookings, refreshments (where provided) and necessary equipment.

- Background over-seeing data management for asset or compliance activities such as M&E, Gas, Fire Safety, Legionella & Asbestos, or repairs & maintenance upgrades.
- Proficient in overseeing external contractors.
- Practical experience of maintaining Databases.
- Experience of encouraging other people to comply with compliance plans.
- Experience and practical application of asset management databases and other property information systems.
- An understanding of the need for excellent customer service and an ability to develop and maintain good working relationships with key staff and all stakeholders.
Skills/Technical skills:
- Excellent spoken and written communication skills.
- Ability to develop effective working relationships with internal and external contacts, gain their confidence and persuade them to cooperate with initiatives where required.
- Ability to work independently, flexibly, and supportively.
- Excellent time management skills.
- The ability to plan and juggle several tasks and meet deadlines under pressure.
- Ability to take an innovative approach and solve problems pragmatically and creatively.
- Confident user at a minimum of intermediate level of business software and products - for example cloud-based productivity and collaboration suites such as Google Workspace and/ or Microsoft 365.
